THE TEAM
The Marketing department’s strategic objective is to provide marketing, digital and social media support to our Talent Management, Live, TV Production and Distribution divisions. Focusing on campaign planning and management, content creation, reporting and analysis, data management, branding positioning, merchandise and licencing, the aim is to maximise income and outreach for our talent and brands. The vast combined knowledge of our twenty-member team contributes to the success of our division and is continuously looking at new and creative ways to enhance our talent and brands' exposure
KEY RESPONSIBILITIES
We’re looking for a Creative Coordinator to manage the flow of work through our in-house creative team and provide light touch design support where appropriate.
This role is all about keeping briefs moving, priorities clear and deadlines realistic, so the team can deliver high-quality work at pace and scale, without unnecessary pressure or confusion. Alongside workflow management, you’ll also support the team with small design task such as simple edits, resizing, and typo fixes.
Reporting to the Head of Creative, you’ll own the end-to-end creative workflow, from initial brief intake through to delivery. You’ll manage creative requests, refine and scope briefs, plan resources, track progress, manage capacity and ensure work is delivered smoothly and on time.
This is an important and rewarding role for someone who is highly organised, detail-driven and technically aware. You’ll play a central part in ensuring the smooth delivery of a wide range of design projects, as well as supporting our pool of freelancers, including onboarding, documentation and the systems that enable the creative team to focus on what they do best.

SPECIFIC DUTIES
Creative workflow & delivery
- Own the end-to-end workflow for all creative requests, from brief intake to final delivery
- Act as the first point of contact for incoming creative briefs
- Clarify, refine and elevate requests into clear, actionable briefs
- Plan and schedule work across the creative team, balancing capacity, deadlines and business priorities
- Maintain visibility of workload, deadlines and dependencies, flagging risks early
- Run regular workflow check-ins to keep work moving smoothly
- Provide oversight across creative deliveries to ensure consistency and quality
- Continuously improve briefing, planning and workflow processes
- Use project management tools (e.g. Trello) to keep work organised and transparent
- Lead clear, proactive communication between creatives and stakeholders
- Confidently manage priorities, including diplomatically pushing back on timelines where needed
- Ensure expectations are well-managed and delivery remains realistic and sustainable
- Monitor team capacity and flag resourcing needs in advance
- Onboard and manage freelancers, matching the right talent to the right brief
- Maintain freelancer documentation, bookings, rates and specialisms
- Manage freelancer invoicing, tracking and payment approvals, including urgent payment requests
- Asset management & governance
- Own and organise internal creative files, ensuring assets are clearly named, structured and accessible
- Identify gaps or opportunities to improve asset libraries and file governance
- Provide light-touch design support for small, low-complexity tasks (e.g. basic amends, resizing assets, correcting typos, simple image edits)
- Support designers by taking on minor changes that do not require creative concept development
- Make small updates to existing assets using supplied templates and brand guidelines
- Prepare simple versions of assets for different formats (e.g. social crops, minor layout tweaks)
- Ensure all minor edits follow brand guidelines and sign-off processes
- Escalate any work that becomes creatively complex or concept-led to the design team

You must have:
- Experience managing creative workflows, traffic or production processes (in-house or agency)
- Confidence managing high-volume creative pipelines while balancing speed and quality
- A strong understanding of creative processes, from brief to delivery
- Excellent organisational and time-management skills, with strong attention to detail
- A proactive, solutions-focused mindset and the ability to anticipate and remove blockers
- Communicates clearly and confidently with both technical and non-technical stakeholders
- Can negotiate priorities and deadlines tactfully
- Is comfortable saying “no” or “not yet” in a constructive, collaborative way
- Is process-driven but people-aware; you understand how creatives work
- Enjoys improving systems, processes and ways of working
- Confident using planning tools such as Trello, Google Workspace and Outlook
- Comfortable guiding projects across print and digital, ensuring smooth delivery from start to finish
- Working knowledge of Adobe Creative Suite (Photoshop essential; Illustrator/InDesign a bonus) for basic amends and simple edits
- Able to follow brand guidelines and templates when making small changes to existing creative assets
