ABOUT THE ROLE:

Key Responsibilities
This is an excellent opportunity to join a close-knit team at the heart of Avalon's international business. As Distribution Coordinator, you will keep the department running smoothly across all areas of TV distribution, from day-to-day coordination to high-profile industry events, working closely with the Head of Distribution and a team that operates at the centre of how Avalon's content reaches global audiences.

The role offers real scope for development and is a strong platform for someone looking to build a long-term career in TV sales and distribution.

Departmental Support
  • Provide administrative support to the Head of Distribution and wider team, including diary management, travel, expenses, and stakeholder administration
  • Manage internal Distribution systems (CRM, RMS, Airtable) ensuring information is accurate and consistently up to date
  • Prepare availability lists, sales reports, pitch materials, brand presentations and territory-specific documentation
  • Support the organisation of major international content markets (e.g. MIPCOM, London Screenings), covering logistics, registrations, shipping, on-site coordination and liaison with Press, Marketing and external partners
  • Research new buyer opportunities and secondary exploitation avenues
  • Manage all Distribution websites and microsites, ensuring content, metadata and screeners are regularly updated
  • Collaborate with Press, Marketing and Operations to ensure all required assets and materials are in place for client deliveries
Deal Management & Systems
  • Maintain and update all Distribution systems, tracking deal progress from pitch to contract completion via Airtable, RMS, and associated tools
  • Keep accurate records of pitch materials, deal memos, licence terms and client information, with weekly internal updates
  • Liaise with Business Affairs, Operations and Finance to ensure smooth movement of deals through internal workflows
  • Create and maintain alerts for expirations, renewals, deadlines and key contractual milestones
Delivery & Invoicing
  • Coordinate content deliveries with Operations, ensuring materials reach licensees on time and in line with contract terms (some knowledge of formats - SD, HD, UHD - and codecs a bonus)
  • Work with Finance to oversee invoicing, track payments and report weekly debtor status
  • Maintain a thorough understanding of all deal obligations and flag any delivery, invoicing or contractual issues promptly to the Head of Distribution

  • You're highly organised, proactive and thrive in a fast-moving environment where accuracy matters. You enjoy supporting a busy team, juggling multiple priorities and keeping complex information in good order.
You'll bring:
  • Experience in TV or a related media environment - as a PA, Coordinator or in an operational/admin role
  • Exceptional organisational skills and the ability to work calmly under pressure
  • Strong attention to detail and a pride in producing accurate, polished work
  • High proficiency in Microsoft Office (Excel, PowerPoint, Outlook) and confidence across spreadsheets, databases and CRMs
  • A proactive mindset - anticipating needs and resolving issues before they escalate
  • Strong communication skills and confidence liaising with internal and external stakeholders
  • A collaborative approach and willingness to pitch in during busy periods
  • Flexibility to travel internationally for markets and events when required
  • A genuine interest in international content distribution, global TV/streaming trends and Avalon's slate
